A more connected way to trade

Less chasing for answers. More confidence in your buying plan.

You should not have to search chats and spreadsheets for every answer. We use bk OASystem to connect requirements, factory quotes, production updates and documents. Our team confirms key decisions and keeps the follow-up on record.

#Common working practicesHow XUANHEYI works
01QuotesFactory quotes sit in separate files, with specifications and payment terms still to check. We compare prices, minimum quantities, lead times and payment terms for the same specification. Differences are checked before you choose a sourcing plan.
02CostThe product price is agreed first; freight and other charges are checked closer to shipment.Product cost, freight and our service fee are itemized. Destination customs charges are checked for each order, with the basis of any estimate explained.
03ProgressProduction updates depend on ad hoc messages, and details can be lost during a handover. We follow agreed production milestones, record delay risks and share updates to help you plan stock and shipment.
04DocumentsPacking details and invoices are prepared separately, so a quantity change needs several checks.PI, CI, PL and carton labels use the same order data. Our team reviews the documents before issuing them.
05Know-howA repeat order means searching old messages to check specifications, prices and packaging.Factory quotes, approved samples and packing records stay with the order. We refer to them when you reorder and reconfirm current prices and lead times.

  • Clear requirements before factory quotes

AI extracts product names, specifications and quantities from images, Excel and PDFs, then assists with matching product records and past quotes. Our team checks the details before asking factories to confirm.

  • Factory quotes on comparable terms

Factory prices and terms stay on record. Once a quote is approved, its purchase cost is linked to the order, giving you a basis for comparison before purchase and a record for settlement.

  • Production milestones with follow-up

A Gantt chart records materials, production, packing, inspection and dispatch. Dependencies and delays help our team follow changes and keep you informed.

  • One order record, connected documents

Confirmed order data is used to prepare PI, CI, PL, contracts and carton labels, including carton counts, dimensions, net and gross weights and CBM. Our team reviews the files before export.

  • Customs records cross-checked

Product records, supplier information and past customs records are compared to flag differences in HS codes and supporting data. Our team reviews them before specialists confirm the declaration details.

  • Costs recorded for the next order

Purchasing, freight and other charges are linked to the relevant order, making the cost breakdown easier to check. Past records provide a reference for the next quote and settlement.

The system helps organize and check information. Our team confirms key specifications, quotes, documents and declaration details before they are used.

Our promises

We follow through on our commitments. Four principles guide our work, every day.

We listen to your requirements, confirm the details and follow through on what we agree. We keep you informed as work progresses and take responsibility for the tasks entrusted to us.

“Treat people well · Work honestly · Put safety first · Take responsibility” guides our decisions and daily work. We check key details, keep a record of decisions and changes, and explain any issues promptly, together with the next steps. We take responsibility for our part and work to put things right.

We review each order and put what we learn into practice, improving how we work with you.

Common questions

Before you place an order, here is what to expect.

What is the minimum order quantity?

Minimum quantities depend on the factory and product. We check them during quoting. If you want to test demand first, we can discuss samples or a smaller initial batch with the factory.

How are costs calculated?

The quote itemizes product cost, international freight, clearance fees and duties. Our service fee is stated according to the order size and scope, so you can see how the full sourcing cost is made up.

How long does a quote take?

Timing depends on the product, the detail in your specifications and the number of factories involved. Existing product and supplier records can help us prepare a quote sooner. We give you an estimated timeframe after reviewing the request.

Can I get samples first?

Yes. We confirm sample costs and shipping arrangements before proceeding. Samples and revisions are recorded with the order, and production follows the approved sample.

How do you control quality?

We track production against the schedule and check quantity, appearance, specifications and packing before shipment. We share photo and video records and work with the factory to address any issues found.

Who handles US or UK import clearance and origin documents?

We prepare export documents from the confirmed order and coordinate supporting origin information. Your appointed customs broker or the relevant specialist handles destination clearance and confirms product requirements, duties and any preferential treatment. We keep the records ready for their review.

Can you prepare information and labels in English?

Yes. Quotations, progress summaries and agreed labeling materials can be prepared in English, with wording and formats reviewed for your US or UK business. We coordinate the corresponding Chinese instructions with the factory.

Can I see your system?

bk OASystem is our internal operating system and client data is separated by permission. We share progress, documents and cost details per order; if you are interested in the system itself, please ask us separately.
