Factory sourcing
How to verify a Chinese supplier before placing an order
Check the business identity, relevant production capability, sample performance and order responsibilities, while recording what has and has not been verified.
Identify the business you are buying from
Collect the supplier's full business name, registration information, operating address and contact details. Compare the entities named in the quotation, contract and payment instructions. A difference may have an explanation, but ask the supplier to explain the relationship and provide supporting evidence. Record the source and date of checks. A trading name, chat profile or image of a company stamp is not a complete identity check.
Points to check
- Match the names across the main order documents.
- Clarify relationships between any different entities.
- Recheck changed payment instructions through an established contact channel.
Check capability against the product you need
Focus on the processes, equipment, people and quality checks relevant to this product. Factory size or attractive premises do not answer those questions. Ask which operations are performed in-house and which are subcontracted. Documents, video calls and site visits provide different kinds of evidence, each with limits. Choose the depth of checking for the order and record any capability that could not be confirmed.
Points to check
- Ask about critical materials, processes and inspection methods.
- Identify subcontracted work and how it is controlled.
- Separate supplier statements from independently checked findings.
Use samples to test the supplier's understanding
Agree the purpose, specification version and assessment criteria before requesting a sample. Record the result and how the supplier responds to differences or questions. An acceptable sample helps assess the proposed product; it does not prove that every production unit will match. Ask how the factory will keep materials and processes consistent in production. If a sample fails, establish the reason before commissioning another attempt.
Points to check
- Keep sample versions, assessment records and written responses.
- Identify differences between the sample and proposed production method.
- Resolve agreed corrections before proceeding to the next stage.
Find out who will actually carry out the order
A responsive salesperson is useful, but the production, inspection and shipping arrangements still need to be clear. Identify who coordinates the project, approves specifications, reports progress and handles quality issues. Both trading businesses and manufacturers can participate in an order. What matters is that their roles are understood, information can be checked and responsibility for the agreed work is recorded.
Points to check
- Identify the sites and businesses involved in fulfilment.
- Name the contact responsible for each important milestone.
- Agree how changes and unresolved issues are escalated.
Pause affected decisions when information conflicts
Repeated document changes, unexplained processes, sudden payment changes or resistance to acceptance criteria call for further checking. No single sign proves fraud, but an unanswered concern should not be ignored. Put the discrepancy into a specific question and request evidence. Until it is resolved, pause the payment, approval or shipment decision affected by it rather than relying on a verbal assurance to fill the gap.
Points to check
- Retain original documents and their revision history.
- Confirm significant changes through an established, separate channel.
- State what must be resolved before work proceeds.
Read verification findings within their stated scope
A supplier check concerns particular information, premises and circumstances at a particular time. It cannot guarantee future performance. A useful report identifies the work performed, supporting evidence and unresolved matters. XUANHEYI can assist with communication, document checks and site coordination, and report findings as observed. You decide whether to appoint the supplier and whether the order needs additional inspection, contractual safeguards or specialist review.
Points to check
- Keep the date, method and coverage of each check.
- Include unresolved matters in the purchase approval record.
- Recheck relevant information when important conditions change.
These guides provide general practical information for purchasing decisions. Confirm the requirements and commercial terms for your own project.
