Shipment planning
Factory-to-forwarder handover: a shipment information checklist
Align cargo details, packaging, documents, responsibilities and timing before goods move from the factory to the freight forwarder.
Start with one confirmed cargo record
Check the order reference, product descriptions, models, quantities, carton count, weights and outer dimensions. Label estimates separately from measured final data. The factory, buyer and freight forwarder should use the same version and receive updates when it changes. Tell the forwarder about batteries, special materials or other characteristics that may affect carriage so it can confirm transport conditions and the information it needs.
Points to check
- Give each shipment a traceable reference.
- Separate estimated cargo data from final packing data.
- Disclose relevant product characteristics before booking decisions.
Match packing and marking to the transport arrangement
Check outer cartons, pallets, protective packing and handling needs as well as the product's retail packaging. Shipping marks, labels and the packing list should correspond to the actual goods, particularly where cartons contain mixed items. Confirm requirements with the parties performing transport and receiving the shipment. Packing photographs support the handover record, but do not replace any packaging or transport assessment needed for the product.
Points to check
- Match carton contents, numbers and external marks.
- Confirm agreed pallet, stacking and handling requirements.
- Keep final packing, dimension and weight records.
Assign transport and document responsibilities explicitly
Identify who arranges collection, supplies export information, checks transport documents and receives the goods at the agreed handover point. The practical arrangement should match the agreed delivery responsibilities. The buyer, forwarder or appropriately qualified adviser should confirm destination clearance, charges and receiving requirements. An unresolved task should remain visible on the checklist rather than being assumed to belong to another party.
Points to check
- List factory, buyer and forwarder contacts with their tasks.
- Confirm the collection location and document recipients.
- Identify services and charges excluded from each party's scope.
Separate cargo readiness from collection and arrival estimates
Manufacturing complete, inspection released, packed and ready for collection are different milestones. Confirm the relevant shipment conditions before aligning collection, booking and document deadlines with the forwarder. Planned departure and arrival dates can change, so record their source and confirmation status. One estimated date should not be treated as a fixed commitment for the entire chain from production to destination receipt.
Points to check
- Record the prerequisite and owner for each milestone.
- Agree how missed milestones affect the transport plan.
- Share schedule changes with the buyer and receiving contact.
Resolve discrepancies before continuing the handover
If quantities, packing condition, weights or documents differ from the plan, record the difference and notify the responsible parties. Establish its effect on transport, cost, receiving and related documents before deciding to correct, supplement or postpone the handover. Repacking or splitting a shipment can change carton counts and measurements. Update the cargo record so superseded information does not continue into later transport steps.
Points to check
- Keep photographs and handover records of the discrepancy.
- State the effect on quantity, cost and timing.
- Retain approval and distribution records for the revised information.
Keep the shipment record continuous after collection
File release approval, packing data, handover evidence, relevant transport documents and exception records under the same shipment reference. When a document is corrected, identify the version it replaces. XUANHEYI can assist with factory-side information checks and shipment coordination. Actual carriage, specialist declarations and destination services remain subject to the scope confirmed with the parties providing those services.
Points to check
- Record the actual handover date, quantity and receiving party.
- Check transport documents against the final cargo record.
- Assign each outstanding task to a named owner.
